Do you wish to print the territories before distributing them?
I want to print first
Action: Go to the Print menu under the Distribution tab; select the territories to print and click on the Print or Download PDF button
The previous action creates a snapshot of the addresses at the time of printing. What it means is that from that point on, any changes made by the territory servant will not be seen by the publisher. The reason behind freezing the information in time is so that the print out will always matches the online addresses.
Action: Go to the Assign menu under the Distribution tab; select the territory to assign (territories are assigned one at the time). Note: The Generate a new list option must be unselected (this option is used for congregations that do not print the territories ahead of time)
Do you want to assign the territories directly to the publisher?
I want the publisher to download the PDF
Action: Go to the Assign menu under the Distribution tab; select the territory to assign (territories are assigned one at the time). Note: The Generate a new list option must be selected (this option is used for congregations that do not print the territories ahead of time)
The previous action creates a snapshot of the addresses at the time of generating a new list. What it means is that from that point on, any changes made by the territory servant will not be seen by the publisher. The reason behind freezing the information in time is so that the territory servant can continue to organize territories without affecting the publishers.
The publishers will be able to download the PDF by clicking on the Click here for more options button and then clicking the Download PDF button.
Do you want to assign the territories directly to the publisher?
I want to assign the territory to the publisher
If you wish to send an email to the publisher when the territory is assigned, first verify that the publisher has an email address. To verify, go to the Search menu under the Publishers tab and search for the name. If the publisher does not have an email address, click on the Edit button to add it.
You may remind the publisher to verify the junk folder if they mention that they did not received the email
Trick: To make it easier for the publishers to see all the territories assigned to them (instead of going back to the email), you may create a user of type Publisher. Go to the Users menu under the Admin tab and click the Add new user button, and then choose the Publisher radio button
What do you want to do when a territory is completed? (All addresses are found home or the user clicked on the Territory Completed button)
I want to assign the territory to the group overseer
If you wish to send an email to the group overseer when the territory is assigned, first verify that the group overseer has an email address. To verify, go to the Search menu under the Publishers tab and search for the name. If the group overseer does not have an email address, click on the Edit button to add it
The group overseer must have a user account, either System Administrator or Territory team. The option Allowed to distribute and configure territories must be selected. Go to the Users menu under the Admin tab and click the Add new user button, and then choose one of the radio buttons
The group overseer would then distribute the territories, by going to the Redistibute menu under the Distribution tab
The group overseer would select one of the 3 options: Assign: meaning the territory would now be under the publisher's name Share: The publisher could access to the territory from the email but it remains under the group overseer's name Lock: the links sent from the share button are now blocked and can no longer be accessed by the publishers
What do you want to do when a territory is completed? (All addresses are found home or the user clicked on the Territory Completed button)
Add the territory to the completed module and let the territory servant officially return it
Action: Go to Options menu under the Options tab; select Add the territory to the Completed module from the dropdown under [Select the action to take when a publisher clicks on the Territory Completed button]
The territories can still be accessed by the publishers, until the territory servant officially returns the territory. The territory can be returned by going to the Completed menu under the Distribution tab. Clicking the territory number opens the Return menu with the infomation already filled in
If you want to prevent the publishers from accessing the territory after being returned, select the option [Block access to this territory from the QR code and email link]. Note: if unchecked the publishers will continue to have access until the process is restarted (printing or assigning the territory)
Note: You may unlock a returned territory by going to the Deactivated menu under the Distribution tab. Clicking on the territory number opens the module to unlock. A territory is also automatically unlocked when restarting the process (printing or assigning the territory)
Enf of workflow
